Busy Law Firm Moves Network without Disruption of Business Operations
Berding|Weil is a law firm specializing in Construction, Community Association, and Real Estate Law. For years, they occupied an office building in Alamo, CA. As business grew the firm gradually took over more and more suites in the building, eventually occupying 17,000+ square feet to house the firm’s 20+ attorneys and their support staff.
In late 2011, the building was sold, and the new owners announced their intention to move in as soon as possible. Berding|Weil set about trying to find a new location, and their Technology & Facilities Manager, Barbara Norberg, began planning to move the firm’s infrastructure.
Complex Project Required Expert Planning
Barbara contacted Clare Computer Solutions, the firm’s IT Services Provider, and began a series of planning meetings with John Isaac, one of Clare’s experienced Project Managers. Both Barbara and Clare Computer Solutions have experience in moving offices, and they mapped out an orderly plan involving multiple vendors (movers, telecommunications providers, along with Clare’s staff for cabling and IT infrastructure services).
“Clare Computer Solutions was invaluable in addressing all the logistical aspects of the office move”, says Barbara. “They worked with me to design a plan that would enable multiple vendors to complete their tasks in a precise schedule, and then they managed the project perfectly – I didn’t have to worry about a thing!”
Like any business, Berding|Weil sought to execute the move with little or no disruption in the business. The new location in Walnut Creek was only a few miles away, so transit time for physical equipment and furniture was not going to be a big factor. The challenge was in coordinating all the services and the vendors that provide them, according to the schedule. Everything had to be in place, and working at the right time in order to avoid any interruption in the business operations.
Move Was Completed with No Disruption
A telecommunications firm was selected to coordinate the specifications, ordering and provisioning for data and voice communications circuits and services for the new facilities. A detailed office plan enabled data and voice cabling to be completed and ready by the move-in date. Clare’s engineers prepared the new server room so that the servers could be installed and brought online almost immediately after their arrival.
“We shut down our offices at 3:00 PM on a Thursday; phone systems were up and running by 5:00 that same day. And by Friday afternoon, everyone’s workstation was moved and functional in their new location.” Barbara says. “Email was never down (thanks to the MX Logic email continuity service Clare set up for us), and all our applications, all access to data and all the phones worked as if they were in
their old offices, only better.”
